Consent and Messaging Policy

For families who hear from a therapy clinic through Ayra Desk, and for the clinics that send those messages.

Effective October 28, 2026Last updated October 28, 2026

Our policy

Therapy clinics use Ayra Desk, a product of InQuantic Technologies, Inc. (“InQuantic”), to keep families informed between a referral and a child’s first therapy session. Messages are sent by your clinic, using Ayra Desk on its behalf. Our policy is simple:

  • Your clinic texts you through Ayra Desk only after you agree.
  • Each conversation starts by saying it’s an AI assistant for your clinic.
  • You can stop at any time by replying STOP, and reach a person at any time by replying HUMAN.
  • Your mobile number and consent are never sold, and never shared with third parties for their marketing.

Text messages

Program name[Clinic name] Intake Updates, powered by Ayra Desk
DescriptionIntake and care-coordination messages from your child’s therapy clinic, sent through Ayra Desk.
What you’ll receiveA welcome message, requests for documents or information the clinic needs, updates on where your child is in the intake process, offers of appointment times, appointment reminders and replies to your questions. These are informational messages. They are not marketing.
How you agreeYou give your mobile number and agree to texts on your clinic’s intake form, or on your child’s referral form where it names the clinic. The first text confirms your enrollment.
Confirmation text“[Clinic name]: You’re enrolled in intake updates. Msg frequency varies, about 1–3/wk. Msg & data rates may apply. Reply HELP for help, STOP to opt out.”
How oftenMessage frequency varies, usually about 1–3 messages a week while your case is active.
Sample messages“Hi Jamie, this is Ayra, [Clinic name]’s AI assistant. We still need Liam’s diagnostic report. Upload it securely here: [link]. Reply HUMAN for a person, STOP to opt out.”
“[Clinic name]: A Tuesday 3:30 PM evaluation opened for Liam. Reply YES to hold it, or HUMAN to talk to our team.”
CostMessage and data rates may apply. Your clinic doesn’t charge for these messages.
StopReply STOP to stop receiving texts. You’ll get one message confirming you’ve opted out. You can rejoin by replying START.
HelpReply HELP and you’ll get: “[Clinic name] intake updates. For help call [clinic phone]. Reply HUMAN for a person, STOP to opt out. Msg & data rates may apply.” Reply HUMAN to reach a person at your clinic.
EmergenciesThis number isn’t monitored for emergencies. If someone may be in danger, call 911.
SecurityStandard texts aren’t encrypted by mobile carriers, so texts carry minimal detail, and documents move through a secure link. Before sharing case details, the assistant checks it’s talking to the number on file for your child’s case.
CarriersMobile carriers are not liable for delayed or undelivered messages.
Privacy and termsNo mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. See our Privacy Policy and Terms of Service.

Phone calls

Ayra Desk doesn’t make AI voice calls. Any call you get from your clinic is from a person. If we add AI calls in the future, we’ll update this policy first, and your clinic would need your separate agreement before calling you with an AI assistant.

Information in messages

Messages may include your child’s first name, the clinic’s name, the step your child is at in the intake process (for example, “insurance check” or “ready to schedule”), the documents the clinic still needs, and offered appointment times. Messages include only what you need for the next step. Detailed documents, such as reports, are exchanged through a secure link instead of in the text itself.

Your replies, and any documents you upload, become part of your child’s intake record at the clinic. This information is protected health information. Your clinic controls it, and InQuantic processes it for the clinic under a business associate agreement as HIPAA requires.

Why it is used

Information in messages is used only to coordinate your child’s intake and care with the clinic: to complete your child’s file, check on insurance requirements, keep you updated, offer and book appointments, and answer your questions. It is not used for advertising, and it is never sold.

Uses required by law

Your clinic and InQuantic may use or disclose information when the law requires it, for example in response to a valid court order, as permitted by HIPAA.

Not a condition of care

Agreeing to texts is not a condition of receiving services from your clinic. If you prefer, your clinic can reach you by phone with a person, email or mail instead.

How long consent lasts

Your consent to texts lasts until you withdraw it, or until your intake and care with that clinic end, whichever comes first.

Withdrawing consent

You can withdraw consent at any time, in any reasonable way, by replying STOP to a text or telling your clinic. Opt-outs are honored within the time the law requires. Withdrawing consent doesn’t affect messages already sent, and it doesn’t affect your child’s place in line or care.

For clinics

Clinics that use Ayra Desk to contact families agree to:

  • get and keep a record of each family’s consent before texting them, as the Telephone Consumer Protection Act and state laws require;
  • describe the messages accurately when asking for consent, and use them only for intake and care coordination;
  • honor opt-outs received in any channel, not just replies to Ayra Desk;
  • review and approve message templates, and keep clinical and coverage decisions with qualified staff;
  • sign a business associate agreement with InQuantic before sending any patient information; and
  • check whether state AI-disclosure laws, such as California’s AB 3030 for AI-generated patient communications, apply to their messages.

Ayra Desk keeps consent records, adds AI disclosures, and handles STOP, START, HELP and HUMAN replies to help clinics meet these duties. See our Terms of Service for details.
